Studio Operations Manager

We are looking for an Operations Manager to join our newly created in-house Creative and Design Studio. The Operations Manager reporting to the Head of Studio Operations will be responsible for overseeing the daily operations of our design studio in-house agency. This role involves supporting the business case opportunities, coordinating IT services, and ensuring the procurement of providers and suppliers is effectively handled.
The Operations Manager will work very closely with the Account Manager, Project Managers and Head of the Studio to ensure a seamless process across the studio, covering, demand, tools, time tracking, design tools and required external providers.
The ideal candidate will have strong organizational skills, a keen eye for detail, and a passion for optimizing processes.
Key responsibilities:
Business Case Support, Capacity and Resource Planning:
Evaluate new business opportunities for the design studio and support the creation of business cases.
Develop and present comprehensive business cases to senior management.
Track and report on the progress and success of implemented business cases.
Support and ensure the right resources are in place in the studio to support the delivery of projects.
Support and implement internal processes to manage capacity, demand and delivery planning.
Support the Finance team with all the needed reporting and information during forecasting and planning processes of the Studio.
IT Coordination:
Collaborate with the IT department to ensure the design team has the necessary technological tools and support.
Oversee the implementation and maintenance of software and hardware used by the design team.
Procurement Management:
Source, negotiate, and manage relationships with providers and suppliers.
Ensure timely procurement of necessary materials and services.
Maintain accurate records of contracts, purchase orders, and supplier agreements.
Align to global processes and compliance policies.
Team Collaboration:
Work closely with creative, marketing, and administrative teams to ensure seamless project execution.
Facilitate effective communication and collaboration between departments.
Provide operational support to team members as needed.
Operational Efficiency:
Develop and implement processes and procedures to enhance operational efficiency.
Monitor and analyze operational performance, identifying areas for improvement.
Additional Responsibilities:
Ensure compliance with all internal policies and external regulations.
Mentor and develop junior operations staff, providing guidance and support.
Stay current with industry trends and innovations to keep the studios operations competitive.
Lead special projects and initiatives as assigned by senior management.
Requirements and Experience: * Bachelors degree in Business Administration, Operations Management, or related field.
5+ years of experience in operations management, preferably in a creative or design-focused environment.
Strong understanding of IT services and procurement processes.
Excellent organizational and project management skills.
Exceptional communication and interpersonal skills.
Full proficiency in English and Spanish. German and other languages are a plus.
Proficiency in Microsoft Office Suite and project management software.
Ability to work independently and as part of a team in a fast-paced environment.
Strong analytical and problem-solving abilities.
